Why franchisors should consider hiring a VA/OBM

Running a franchise business is different from running a single business.

As a franchisor, you're not just responsible for your own operations, customers and team. You're also supporting franchisees, protecting your brand, maintaining consistency, developing new opportunities and trying to grow the network.

And as the network grows, so does the amount of work happening behind the scenes.

More franchisees means more questions ~ More sites means more information to manage ~ More activity means more processes to maintain.

And eventually, you can find yourself spending an increasing amount of time keeping everything moving, rather than actually moving the business forward.

This is where the right Virtual Assistant (VA) or Online Business Manager (OBM) can make a significant difference.

But there's an important distinction.

You don't necessarily need someone to simply “do your admin.”

You need someone who understands how your business operates, how your franchise model works and how to make the moving parts work together more effectively.

That's where my experience comes in.

I've been on both sides of the franchise model

I don't just understand franchising from an operational perspective.

I've been a franchisee myself.

I previously owned and operated a children's franchise activity business, so I understand what it's like to be on the other side of the franchisor/franchisee relationship.

I know that franchisees need clear communication, reliable systems, accessible information and consistent support.

I also understand the reality of running a growing business — where you're often trying to juggle customers, people, suppliers, marketing, finances, operations and everything else that lands on your desk.

Alongside that hands-on business experience, I bring 18+ years of experience across operations, process and project management.

That combination is what allows me to look at a franchisor's business differently.

I'm not just looking at what needs doing.

I'm looking at why it needs doing, how it currently gets done, where things are getting stuck and how it could work better.

So, how can a VA/OBM actually help a franchisor?

1. Take the operational workload off your plate

As a franchisor, your time is valuable.

You shouldn't be spending your best hours chasing information, updating spreadsheets, following up with franchisees or trying to remember which task needs doing next.

A VA/OBM can take ownership of the operational tasks that keep the business moving.

That might include:

  • Franchisee onboarding and offboarding

  • Maintaining franchisee records

  • Managing communications and follow-ups

  • Coordinating meetings and actions

  • Updating documentation

  • Managing recurring operational tasks

  • Supplier and contractor coordination

  • Reporting and data collection

  • CRM administration

  • Supporting franchisee communications

  • Managing projects and deadlines

The difference is that these activities don't simply disappear from your workload.

They become someone else's responsibility to manage.

And that's a very different thing.

2. Create consistency across your franchise network

Consistency is one of the foundations of a successful franchise model.

Your franchisees should know:

  • What happens when they join

  • What information they need

  • Where they find it

  • Which processes they should follow

  • When things need to happen

  • Who they need to speak to

  • What is expected of them

But as a franchisor grows, it's surprisingly easy for this information to become fragmented.

One process lives in an old document.

Another is sitting in someone's inbox.

Something else is explained verbally.

And suddenly every franchisee is getting a slightly different experience.

An OBM can help bring those moving parts together.

We can review how things are currently being done, identify inconsistencies and create clearer processes, systems and workflows.

The result?

Less duplication. Fewer things falling through the cracks. And a more consistent franchisee experience.

3. Strengthen your franchisee onboarding

Your franchisee's experience starts long before they open their doors.

The onboarding process sets expectations for the relationship and gives them their first real experience of how supported they are going to be.

A well-structured onboarding process can include:

  • Welcome and introductory communications

  • Document collection

  • Training schedules

  • System access

  • Supplier information

  • Brand assets

  • Operational documentation

  • Key contacts

  • Milestones and deadlines

  • Pre-launch checklists

  • Regular progress updates

A VA can manage much of the administration involved.

An OBM can go further and look at the entire journey.

Where are the bottlenecks?

What are franchisees repeatedly asking?

What information isn't clear?

What is currently reliant on someone remembering to do something?

And what could be automated or systemised?

That means you're not simply getting someone to run your onboarding process.

You're getting someone who can help you improve it.

4. Give franchisees better support without adding another layer of management

As your franchise network grows, franchisee support can become one of your biggest operational challenges.

You want franchisees to feel supported.

But you also don't want every question, issue or request coming directly to you.

That's where clear systems and ownership become incredibly important.

A VA/OBM can help establish:

What should franchisees handle themselves?

What should be handled by your support team?

What needs to come to you?

What information can be made available before they need to ask?

This creates a more structured support model.

And importantly, it gives you the opportunity to move from being the person everyone goes to to being the person who oversees how the support works.

That's a much more scalable position.

5. Help you actually use the data you're collecting

Most franchisors collect a lot of information.

The question is:

Are you actually using it?

Sales figures.

Franchisee performance.

Customer numbers.

Marketing activity.

Lead generation.

Retention.

Operational issues.

Compliance.

Training.

Feedback.

The data can tell you an enormous amount about what's happening across your network — but only if it's organised and reviewed consistently.

A VA can help keep information accurate and up to date.

An OBM can help you establish what you actually need to monitor and why.

That might mean creating reporting systems, dashboards or regular management reports that allow you to spot trends and potential issues earlier.

Because the goal isn't to create more spreadsheets.

It's to give you better visibility so you can make better decisions.

6. Get projects moving

Franchisors rarely have just one thing going on.

You might be:

  • Launching a new franchise territory

  • Updating your operations manual

  • Introducing new software

  • Refreshing your website

  • Developing a new product or service

  • Reviewing suppliers

  • Improving franchisee onboarding

  • Preparing for an event

  • Developing marketing campaigns

  • Expanding your support team

The problem isn't necessarily knowing what needs to happen.

It's having the time to coordinate all the moving parts.

This is where my project management background becomes particularly useful.

I can help turn:

“We really need to get this sorted.”

into:

What needs to happen → who owns it → when it needs to happen → what is blocking it → what's next.

And then keep it moving.

7. Help you step out of the weeds

This is probably the biggest benefit.

When you're running a growing franchise network, it's very easy to become the bottleneck.

You know how everything works.

You know where everything is.

People come to you when they need an answer.

You make the decisions.

You chase the things that haven't happened.

You fix the problems.

And because you can do all of those things, you keep doing them.

Until you're spending more time working in the business than working on it.

A good VA can take tasks away from you.

A good OBM can help you build a business that doesn't require you to be involved in every task in the first place.

That's the real difference.

VA or OBM — what does a franchisor actually need?

It depends on where your business is right now.

A VA may be the right fit if you need:

  • Administrative support

  • Diary and meeting management

  • Data entry and CRM updates

  • Franchisee communications

  • Document management

  • Research

  • Routine reporting

  • General business support

An OBM may be the better fit if you need:

  • Operational oversight

  • Process improvement

  • Project management

  • Systems and workflow development

  • Team coordination

  • Accountability

  • Better delegation

  • Improved franchisee onboarding

  • Operational consistency

  • Someone to manage the moving parts of the business

And sometimes you need a combination of both.

The important thing is understanding what your business actually needs, rather than simply deciding you need “a VA”.

You don't need to do everything yourself

One of the biggest misconceptions about outsourcing is that you need to know exactly what you want to outsource before you bring someone in.

You don't.

If you're a franchisor thinking:

“I know I need help, but I'm not even sure what I should be handing over…”

that's actually a perfectly good place to start.

Because the first step shouldn't necessarily be:

“Here's a list of tasks. Please do them.”

It can be:

“Here's how my business currently works. Help me work out what's taking too much of my time, what's inefficient and what needs to change.”

That's where an experienced VA/OBM can add real value.

My approach

Because I've experienced franchising from the franchisee side and spent more than 18 years working across operations, processes and project management, I don't look at your business purely through an administrative lens.

I look at the bigger picture.

Where are things getting stuck?

Where are you unnecessarily involved?

What is inconsistent?

What keeps getting missed?

What could be delegated?

What could be systemised?

What needs documenting?

And what needs to change before your next stage of growth?

The aim isn't to turn your franchise into a corporate machine full of processes and spreadsheets.

It's to create enough structure and consistency to allow you and your franchisees to operate more effectively — without losing the flexibility and personality that made the business successful in the first place.

Ready to get out of the operational weeds?

If you're a franchisor who has reached the point where there is simply too much to manage and not enough time to manage it, bringing in the right VA/OBM could be the next step.

You don't necessarily need another employee.

You don't necessarily need a huge consultancy project.

And you certainly don't need someone to hand you a 100-page strategy document and disappear.

You need someone who can understand how your business works, identify what's getting in the way and then help you make it work better.

That's exactly the kind of support I provide.
